Reason for data processing

We use zoom as a tool for online meetings, video/phone conferences and webinars (hereafter referred to as „online meeting“). Zoom is a service of Zoom Video Communications, Inc., located in the USA.

Responsible for data processing in direct relation to performing online meetings is the Degen&Diederen Consulting GbR.

As soon as you open the zoom website, zoom is responsible for the data processing.

Which data are processed?

When using zoom various kind of data will be processed. The kind of data will depend on which data you provide bevor or during participation in the online meeting.

The following data related to your person may be processed:

Details about you: Name, phone (optional), e-mail-address, password (optional), profile picture (optional), department (optional)

Meeting meta data: Topic, description (optional), participant IP address, hardware information

In case of recording (optional): mp4 file of video, audio, and presentation recording, m4a file of all audio recording, text file of the online meeting chat

When using a phone line: Phone number, country, start and end time, in some cases further information related to the connection may be stored, like e.g., the IP address of the hardware used

Text, audio, and video data: You may have the option to use the online meetings chat, question, or poll function. If you do so, your text entries may be processed. While using your microphone and/or your video camera during the online meeting data from the microphone and/or the video camera may be processed. You always have the option to turn off your microphone and/or your video camera using zoom applications.

To participate in an online meeting, you at least need to provide your name.

Data processing

In case we plan to record the online meeting, we will inform you transparently and upfront. In the zoom application it will always be transparently shown if the meeting is recorded.

In case of meetings with more than one other person, we may want to capture the content of the chat and the questions you asked for the meeting minutes or any follow up.

If case you are registered with zoom, zoom may safe your data. For more information, please check the data privacy declaration of zoom.

An automated decision described in Art. 22 DSGVO does not happen.

Legal basis for data processing

Personal data processing by Degen&Diederen Consulting GbR is based on § 26 BDSG. Personal data processing and data processing that is required for the usage of zoom is based on Art. 6 Abs. 1 lit. f) DSGVO. Our concern is in this case the effective operation of an online meeting.

Otherwise data processing needed for online meetings is based on Art. 6 Abs. 1 lit. b) DSGVO, if the meeting is part of the contractual relationship.

Dissemination of data

Personal data, which are processed in relation to the participation in an online meeting, will not be shared at all, if they have not been explicitly defined as data to be shared.

Zoom will have access to data as far as the data is needed to perform the online meeting using zoom as a tool.

Data processing outside of the European Union

Zoom is a tool provided by a company located in the USA. Therefore, data will be processed in a country outside of the European Union.

Data privacy is given by the Privacy Shield Certification of Zoom Video Communications, Inc., as well as guaranteed by European Standard Contract clauses.

Your rights

You have the right to get information about your personal data. Please, contact us. If you are contacting us in any other way than by writing, we may ask you for information to confirm your identity.

You also have the right of correction and/or deletion of your data and/or restrictions to your data processing, as legally defined.

Deletion of data

We delete your personal data in general as soon as there is no requirement to store them anymore. Contractual or legal requirements may prevent us from deleting data immediately.
